First, confirm which file was uploaded
Compression can produce a valid smaller file while the upload form still points to the original. Download the result, note its filename and size, and explicitly reselect it in the destination form. Similar names such as document.pdf and document (1).pdf make this easy to miss.
Also distinguish a per-file limit from a total submission limit. A form that accepts five 1 MB files may still reject a combined selection if the overall request has a smaller allowance. Read the message and the surrounding instructions before changing the file again.
Compare exact size and actual format
Rounded KB and MB labels can hide an overage. Decimal and binary units also differ. Use an exact byte count where possible and choose a conservative target when the uploader is ambiguous. Leave more room when a system packages or encodes attachments before enforcing its limit.
A filename extension is not a conversion. A PNG renamed to .jpg remains PNG content, which can fail a real format check. Select an accepted output format in the tool and confirm both the result’s extension and its validation report.
Check constraints that the generic error hides
Some uploaders use one message for several types of rejection. The file may meet the byte ceiling but violate another rule. Compare against the current official instructions; a random preset with the right destination name is not authoritative.
- Image width, height, aspect ratio or background may be wrong.
- The format may be unsupported even though the extension looks familiar.
- A PDF may be encrypted, contain unsupported active content, or lack required searchable text.
- The session may have expired, or the service may be temporarily unavailable.
Turn the message into settings carefully

Stop when compression is no longer the problem
If the downloaded file is comfortably below the exact ceiling and meets the format and dimension rules, making it smaller again may just reduce quality. Retry with a fresh selection or session, check the service status if available, and contact the destination with the exact error and measured file properties.
Keep a copy of the original and the successful output. Never treat a generic “pass” from a compression tool as a guarantee of destination acceptance. The useful evidence is which checks were performed and what the output actually contains.
